What is ProjectDox?

ProjectDox is the City of Gainesville’s online system for electronic plan review. It allows developers, contractors, and design professionals to submit, track, and manage development plans completely online—eliminating the need for paper submissions.

Through ProjectDox, development projects are reviewed for compliance with building, zoning, planning, and utility regulations. The system allows multiple city departments and agencies to review plans at the same time, helping to speed up the review process and reduce conflicting comments.

By using ProjectDox, the City is committed to providing a more efficient, transparent, and collaborative experience for applicants throughout the development review process.

ProjectDox Process

Once an application is submitted to the Building or Planning Division and application fees are paid, a permit expeditor will review the submission to determine if plan review is required. 

If Plan Review is Required:

  • The applicant will receive an email from ProjectDox prompting them to log in and upload their plans.
Review Process
  • The Building or Planning Division will complete a pre-screen of the uploaded materials within 48 hours after the Applicant Upload Task is completed. 
  • The applicant will be notified of any outstanding submittal requirements after the pre-screen. 
  • Once all required materials are submitted:
    • A plans examiner or planner will be assigned to the project.
    • They will coordinate the review, provide comments, and issue final approvals if applicable.
After Approval
  • When the permit is approved or issued, the applicant will receive a notification through PermitGNV.
  • Approved plans and documents are available for download.
  • Building permit materials must be printed in color and made available on-site for inspectors.
Submitting Revisions
  • Any revisions to drawings or documents must be submitted and reviewed using the same process described above.
